King David Tacos is a growing company built around one very important thing: tacos. Specifically, breakfast tacos.

Behind those tacos is a strong, fast-moving team with Retail, Catering, Wholesale, Production, Logistics, Events and Development operations all happening at once. We are resourceful, innovative, dynamic and growth-minded. 

We’re looking for an Administrative Assistant, who will work closely with our CEO and owner, to help keep them and the KDT team organized, efficient, and moving forward. This is a role for someone who loves details, is proactive, is extremely comfortable with technology, and is motivated by making things easier and better.

Job Overview

Title: Administrative Assistant to CEO / Owner

You will work hand-in-hand with the owner to help manage the many administrative, organizational, and project-based details that keep a growing company running smoothly and get the tacos to the people!

While you'll spend plenty of time on a computer, this is a hands-on role in a real food and hospitality business. One day you may be formatting a presentation or organizing a calendar; the next, you might be helping solve an operational problem, walking through the production space, heading into the freezer, helping prepare for an event, or jumping in wherever something needs to get done.

We want someone who is interested in understanding how a business like KDT actually works. We sell our products across multiple channels, to both high-profile organizations and individuals at home, 7 days a week, and have built an operation and systems that work behind the scenes to make that possible.

Things move quickly. Priorities change. Sometimes we need to solve a problem that didn't exist yesterday, and sometimes the problem we solved yesterday has to be approached differently tomorrow. Schedule Expectations

• 5 days / 45-50 hours average per week
  • REQUIRED: Full-time, early morning, Saturday & Sunday availability
    • Please note the start time of this shift varies
    • This position may require an extra day, based on business needs
  • This role requires flexibility in scheduling, including weekends, holidays, irregular hours, and occasional on-call responsibilities. 
    • 100% in-person role, with remote access required from time to time
    • Timely communication and responsiveness to reasonable email and text communication required outside of regular working hours to support business and team needs
    • May require adjusted start times as early as 4am depending on business needs

Key Responsibilities

CEO Organization & Preparedness

• Manage and organize calendar and scheduling needs
• Help CEO prioritize and stay on top of internal and external deadlines, meetings, and follow-ups 
• Prepare meeting agendas, notes, documents, presentations, and other support materials
• Help coordinate meetings with employees, vendors, partners, and other contacts
• Assist with travel, reservations, itineraries, and logistics as needed

KDT Support

• Provide administrative and organizational support across the company as needed
• Help keep information, documents, files, and systems organized and easy to access
• Coordinate information between CEO and different KDT teams and departments
• Follow up on tasks and requests to make sure things don't fall through the cracks
• Help organize projects, deadlines, and next steps
• Identify administrative bottlenecks and help create better systems for getting things done
• Support the leadership team with projects and priorities as needed

You are not expected to run departments, but you should become someone who understands how the pieces of KDT fit together and helps make sure those pieces stay connected.

Presentation is Everything

We care about details and presentation. You'll frequently take information that is rough, messy, or unfinished and turn it into something clear and polished.

• Edit and proofread documents and communications
• Format and create Word/Google documents, spreadsheets, presentations, and other materials
• Update templated designs for signage and menus
• Create and update templates
• Edit existing materials to optimize design and legibility
• Create polished internal and external-facing documents
• Catch typos, inconsistencies, missing information, and formatting issues before they go out the door

If you notice that the margins are weird, the spreadsheet isn't aligned, or the font size changed halfway through the presentation, you are probably our person!

Adapting with Technology

KDT has the ability to be very nimble when it comes to adopting new technology, and we want someone who is excited about the possibilities of finding ways to work smarter, and is native to the current landscape.

• Use AI tools to research, draft, edit, summarize, organize, and improve work
• Help identify ways AI and software can save time and improve KDT's processes
• Quickly learn new software, platforms, and systems
• Help troubleshoot everyday technology and administrative challenges
• Find ways to automate repetitive tasks
• Become highly proficient in the tools KDT uses to run the business
• Strong comfort with tools such as Google Workspace, Microsoft Office, Adobe Creative Suite, AI platforms (Anthropic / Claude) and tools, and other business software is a major plus. 

You don't have to know every platform already. You need to be the kind of person who can figure out a new one.

Research & Special Projects

KDT is a growing company, so no week or day will look exactly the same. You may help with:

• Research questions and provide clear, organized answers
• Gather information to help CEO and the leadership team make decisions
• Compare options, summarize findings, and identify next steps
• Take on projects where the answer isn't immediately obvious and figure out where to start
• Organizing company events or team initiatives
• Helping with hiring and onboarding projects
• Other projects that help KDT operate more effectively and efficiently

Experience

• 2+ years of experience in administrative support, executive assistance, operations coordination, hospitality, or a similar role preferred
• Experience working directly with a founder, CEO, executive, or small business owner 
• Hospitality, restaurant, food & beverage, or startup experience is a plus
• Strong computer and technology skills required (see above for programs)
• Strong professionalism and work ethic
